We collect personal information about you in accordance with data protection rules. This information allows us to register your booking and fulfil our contractual obligations to provide a booking confirmation.

We collect all information provided directly when using our Services, including your name, e-mail address, age, gender, address, contact details, disabilities and special needs. All payments are processed by a third-party provider and we do not have access any of your payment information.

We collect your IP address through your device for tracking and security purposes, and we use cookies in order to track your website usage and preferences. All of our business partners are committed to protecting your personal information in accordance with this privacy policy. We also may receive information from certain third-party providers and business partners such as centralised booking platforms, when you have provided information to these platforms in relation to a booking. How the collected information is used

The information collected is used to assist in the administration of your booking and of your account. Welcome Systems may also use the information you provide to contact you either via email or telephone to discuss the details your booking.

We keep track of your preferences when you select settings within the Services and use this to personalise repeat visits to our website.

Safety and security are important to us, and your information may be used to verify accounts in the event of suspicious or fraudulent activity.

If you consent thereto, we may share certain personal information with our authorised third parties to provide statistical analysis.

Marketing communications

If you have provided consent thereto, we may contact you through the medium selected the time of booking, either by post, e-mail, telephone or text, in order to inform you of our latest promotions, products and services, and other information which might be of interest to you.

You may withdraw your consent to receiving marketing communications at any time by contacting via email at dataprotectionteam@welcome-systems.uk. This will not affect our right to communicate with you for reasons related to your use of the Services and/or booking.

Though we make every effort to preserve your privacy, we may need to disclose personal information in the following circumstances: when required by law; where we have a good-faith belief that such action is necessary to protect our legal rights; or to comply with any current judicial proceeding, court order, regulatory ordinance or legal process.

Legal bases for processing

If you are an individual in the European Economic Area (EEA), we collect and process information about you only where we have legal bases for doing so under applicable EU data protection laws. Depending on the type of Service you use, your legal basis for processing may vary. In general, we rely on the following bases:

In processing your booking, we may send your details to, and also use information from, credit reference agencies and fraud prevention agencies.

In addition, where you have consented thereto, we share data with Trustyou for review purposes. We will only share your data (name, email address and booking details) if you have approved this feature.

Save as stated above, we do not sell, rent or share your personal information to any third parties.

Storing the information we collect

We use servers located in Dublin, Ireland to host all of the information collected. Our servers ensure your data is encrypted and all appropriate safety measures are in place to ensure your data is protected. Access to your personal information is limited to a small segment of our staff who has been made aware of the need to preserve the confidentiality of all data we collect.

Whilst we go through vigorous measures to protect your information, there is no guarantee such information may not be accessed by breach of any of our standards or technical safeguards.

In the event that Welcome Systems is made aware of a breach, we will notify you and take all reasonably required precautions to prevent the impacts of the breach.

How long we keep your personal information

Applicable laws require that we store your booking information for a minimum of one (1) year. Once this delay expires, we will honour requests for deletion as outlined below.

Access to information and correction

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

You have the right to request a copy of the information that we hold about you, and, wherever possible, to obtain your personal information in a portable format. Subject to the legal requirements outlined above, you can also contact us to request the deletion of your personal information.

There may be a small charge for this service in the event that this request causes an unusually high strain on our data administration services.

This privacy policy (this “Policy”) explains how your personal information is collected, used, and disclosed by Welcome Table and favouritetable (collectively, “Welcome Table,” “we,” “our” or “us”). Welcome Table and favouritetable are the property of Welcome Systems Ltd.

This Policy applies to visitors and users (individually, “you”) of the Welcome Table and favouritetable’s website, apps and other online services. By visiting or using our website, apps and other online services to the extent permitted by applicable law, you are consenting to us gathering and processing information about you in accordance with this Policy, although consent may not be required for all the elements described in this Policy. For certain types of information or processing, we may provide you with choices or request your further consent related to what information we collect and how we may process it.

Third-parties (restaurant partners at which you make reservations or join waitlists) may also collect, use, and share information about you. This Policy does not cover such third-parties or their services and we do not take any responsibility for how such third-parties may use any information they collect. The information that we collect

We may collect personal information and device Information in connection with your use of our booking system;

We may use your information to provide services, respond to and fulfil your booking or waitlist requests;

We may share your information with the restaurants for which you make a reservation / enquire about waitlist so that we can fulfil your requests. We act merely as the data processor of your information, on behalf of our restaurant partners and always solely for the sole purpose of managing the process of table reservations / waitlist enquiries.

Personal information

By visiting or using our website / booking system, we may collect the following categories of personal information (“Personal Information”) you provide to us: title, first name, last name; email address; postal code; phone number (mobile or home phone number); reservation details (number of guests, date, time and special requests); and restaurant reviews that you provide on our website.

We do not proactively collect personal information considered as sensitive personal information.

Device information

When you visit our website, some information is automatically collected from devices (mobile, computer, laptop, tablet) used to visit our website or use our boking software, including, but not limited to, operating system, access times, browser information (type, language, and history), settings, and other data about your device that we use to provide the services or as otherwise described in this Policy (“Device Information”). If you do not provide us with certain of your information, we may not be able to fulfil the requested Purpose of collection, such as to respond to your queries or provide our website, apps or services to you.

Our role as data controller and data processor

We generally act as the data controller of your information on behalf of our restaurant partners. We are not responsible for any restaurant partner’s use of information for which it is an owner or controller. Retention

We will retain your information for the period necessary to fulfil the Purposes outlined in this Policy and as otherwise needed to comply with applicable law and internal company policies.

How we share your information:

Information shared with restaurant partners

When you make a restaurant reservation or request to join a waitlist through our partner website www.Favouritetable.com, we automatically provide your information to the restaurant partner in order to facilitate your request. This information includes your title, first name, last name, email address, telephone number name, dining profile, time and date of visit, party size, any special requests or comments that you choose to submit (if any), and optionally, your postcode if you so choose to provide. Your information is provided to the restaurant partner, just as it would if you contacted the restaurant directly. If you provide a mobile phone number in connection with your dining request, restaurants may send you text messages regarding your reservation. Some restaurants also require you to provide credit or debit card account information to secure your reservation.

When you make a restaurant reservation, we may also share with the restaurant additional information about you, such as information about your dining activity and history. We may share with restaurants summary reports of feedback from guests. If you provide comments about a restaurant through our website, these comments may be shared with or may be accessible by that restaurant. We will not tie your comments with other information that can identify you, but a restaurant may be able to tell who you are from your comments, particularly if you give your name in the comments or provide contact information, such as an email address.

Payment card information

To use certain services on our website (such as to make reservations at certain restaurants; to make payments to certain restaurants), we may require credit or debit card account information. By submitting your credit or debit card account information through our website, to the extent permitted by applicable law, you expressly consent to the sharing of your information with restaurants, third-party payment processors, and other third-party service providers (including, but not limited to, vendors who provide fraud detection services to us and other third parties), and you further agree to the following terms.

When you use a credit or debit card to secure a reservation through our website, we provide your credit or debit card account information (including card number and expiration date) to our third-party payment service providers – this information is not accessible by the restaurant.

When you initially provide your credit or debit card account information through our website in order to use our restaurant payment services, we provide your credit or debit card account information to our third-party payment service providers.

Information you share socially

Our website may allow you to connect and share your actions, comments, content, and information publicly or with friends. Our website may also allow you to connect with us on, share on, and use third-party platforms, including those on which favouritetable has a presence.

Please be mindful of your personal privacy needs and the privacy needs of others as you choose whom to connect with and what to share and make public. We cannot control the privacy or security of information you choose to make public or share with others. favouritetable does not control the privacy practices of third-party platforms. We do not share your information with third parties.

We may disclose your information to regulatory authorities, courts, government agencies and other third parties where we believe that doing so would be in accordance with or permitted or required by any applicable law, regulation or legal process, to defend the interests, rights, and/or property of favouritetable or others, or to respond to emergencies.

We may disclose or transfer your information to a third party if we sell, transfer, divest, or disclose all or a portion of our business or assets to another company in connection with or during negotiation of any merger, financing, acquisition, bankruptcy, dissolution, transaction, or proceeding.

We may otherwise share your information as directed by you or subject to your consent.

Security of your information

favouritetable takes commercially-reasonable technical, administrative, and physical security measures designed to protect your information from loss, misuse, unauthorised access, disclosure, alteration and destruction.

When your credit or debit card account information is being transmitted to our website it will be protected by cryptographic protocols. To be clear, favouritetable does not itself store your credit or debit card account information, and we do not have direct control over or responsibility for your credit or debit card account information. We use third party payment processors that are the controllers of your credit card information. Our contracts with third parties that receive your credit or debit card account information require them to keep it secure and confidential.

Nonetheless, we cannot guarantee that transmissions of your credit or debit card account information or your other information will always be secure or that unauthorised third parties will never be able to defeat the security measures taken by Welcome Table and favouritetable or our third-party service providers. Except to the extent that liability cannot be excluded or limited due to applicable law, we assume no liability or responsibility for disclosure of your information due to errors in transmission, unauthorised third-party access, or other causes beyond our control. You play an important role in keeping your information secure. You should not share your user name, password, or other security information for your Welcome Table account with anyone. If we receive instructions using your user name and password, we will consider that you have authorised the instructions. If you have reason to believe that your interaction with us is no longer secure or feel that the security of any account you might have with us has been compromised), please contact us immediately.

Your choices:

Email

If you do not want to receive marketing and promotional emails from Welcome Table on behalf of its restaurant partners, you may click on the “unsubscribe” link in the email you receive to unsubscribe and opt-out of marketing email communications. Alternatively, to the extent that applicable law requires your prior opt-in consent to receive marketing and promotional emails, you can choose not to opt-in.

Mobile push notifications

You can use the settings on your mobile device to enable or turn off mobile push notifications from Welcome Table.

Text messages

If you no longer want to receive text messages from Welcome Table, reply STOP (or as otherwise instructed) in the text message. Alternatively, to the extent that applicable law requires your prior opt-in consent to receive text messages, you can choose not to opt-in.

We will try to comply with your request as soon as reasonably practicable as required by applicable law In addition, please note that even if you opt-out of receiving marketing communications from one or all of our restaurant partners, we may need to send you service-related communications and may need to keep information we have collected about you for record-keeping, research, and other purposes.
